10 Steps to Organizing a Successful Summer Event



     If you have an event this summer that you are helping to organize, “The Essential Event Planning Kit” ( America ’s Group) offers helpful ideas and tips to make sure your event is a success. By using information from the book, you can organize and manage any-sized function—a dinner, meeting, ceremony, visit, reception, wedding or party—on time, without stress, and within budget.

The following is a helpful checklist that will ensure you have all your bases covered:

  1. Lock down the event's place, date, time, principal attraction, etc.
  2. Create a master "To Do" list—Every major element that needs doing from invitations, decoration, refreshments, etc.
  3. Break the elements of the To Do list into their principal components such as for the invitation note that decisions have to made on wording, design, typeface, size, method of transmission, etc.
  4. Set the Key Dates on which each aspect of each element has to be started, checked on, accomplished, etc.
  5. Design the Arrangements—"On Stage:" Location of chairs, tables, speakers, camera positions, etc; and "Back Stage:" Dressing rooms, toilet facility, secure storage areas, etc.
  6. Develop the Planning Guide—For each element of the event, determine who does what, on what date, at what cost, etc.
  7. Creating an Event Checklist—On the day of the event, decide who will be responsible for distributing the program, having the food in place, meeting and greeting the principals, etc.
  8. Write Event Program—Once the event begins, figure out what happens at each moment to make sure that it is interesting, memorable, etc.
  9. List the Big League Contingencies—What do you do if the access streets are closed, the rains come, a key player gets sick, etc.
  10. State Your Goals—What has to happen or what do you have to hear from guests at the event for you to know that it was enjoyable, worthwhile, successful, etc.
